Office Assistant

We are currently seeking a dedicated Office Assistant to manage various tasks within our company. Your attention to detail and organizational skills will be crucial in ensuring the smooth operation of our office.

Roles & Responsibilities:

  • Assist with general administrative tasks, including answering phones, responding to emails, and handling correspondence.Schedule appointments, meetings, and conference calls for staff members. Maintain office calendars and ensure that appointments are organized efficiently.

  • Maintain an organized and tidy office environment, including managing office supplies, ordering new materials when necessary, and ensuring that office equipment is in good working condition.Coordinate office maintenance and repairs, such as fixing malfunctioning equipment or arranging for cleaning services

  • Enter data into spreadsheets, databases, or other software systems accurately and efficiently.Create and maintain physical and digital filing systems for easy document retrieval.

  • Assist in record-keeping, archiving, and document retention policies.Greet clients, visitors, and employees warmly and professionally.Ensure that visitors sign in and receive necessary identification or badges. Direct visitors to the appropriate personnel or meeting locations.

  • Reconciling monthly, quarterly, and yearly receivable and payable transactions.

  • Set up meeting rooms, including arranging seating, equipment, and refreshments.Take meeting minutes and distribute them to relevant parties.Assist in planning and coordinating office events or functions.

  • Provide assistance to employees with various needs, such as helping with administrative tasks, IT issues, or general inquiries.Address basic customer inquiries and route more complex issues to the appropriate departments.

Skills Required:

  • Good knowledge of Computer.

  • MS Office, word, excel & Powerpoint.

  • Email communication.

  • Good communication skills in Tamil & English.

  • A university degree and above.

  • Excellent communication and Interpersonal Skills.

  • Strong interpersonal skills for interacting with colleagues, clients, and visitors.

  • A proactive approach to identifying and resolving operational challenges.

  • Ability to work well under pressure and in a fast-paced environment.
